Zvoove Integration ​

Connect your KI Agency platform with Zvoove's HR management platform to automate recruitment workflows and synchronize candidate data.

What is Zvoove? ​

Zvoove digitizes the daily work processes of staffing service providers end-to-end. This integration allows you to automatically sync campaign data and contacts between your KI Agency platform and your Zvoove system.

Setting Up Zvoove Integration ​

Prerequisites ​

Before setting up the integration, you'll need:

  • Access to your Zvoove account
  • API credentials from Zvoove
  • Your Zvoove tenant name (the part before .europersonal.com in your Zvoove URL)

Step 1: Connect to Zvoove ​

  1. Navigate to Integrations in the main menu
  2. Find Zvoove in the list of available integrations
  3. Click Connect
  4. Enter your API key when prompted
  5. Enter your Zvoove tenant name (e.g., if your URL is musterfirmaxy.europersonal.com, enter musterfirmaxy)
  6. Click Connect to establish the connection

Step 2: Verify Connection ​

After connecting, you should see:

  • A green "Connected" status on the Zvoove integration card
  • The integration appears as available in your campaign settings

Using Zvoove with Campaigns ​

Once connected, you can configure your campaigns to work with Zvoove data:

Campaign Integration Setup ​

  1. Open any campaign from your campaigns list
  2. Go to the Zvoove Trigger tab
  3. Enable the integration by turning on the switch
  4. Configure the following settings:

General Description ​

Add a description of what types of references fit this campaign. For example:

  • "Focus on leads from automotive industry with budget > $50k"
  • "Target candidates for senior management positions"

Attach References ​

Select specific campaign references from your Zvoove system:

  • Browse available references from your connected Zvoove account
  • Select multiple references that match your campaign goals
  • The system will automatically sync data from these references

Push Results Back ​

Push Results Back is not supported for the Zvoove integration. Call outcomes are recorded in your KI Agency campaigns but are not automatically sent back to Zvoove. All call data remains available in your dashboard for analysis.

Campaign Automation ​

When properly configured, the integration will:

  • Automatically pull relevant contacts from Zvoove based on your settings
  • Trigger campaigns when new matching candidates are added to Zvoove
  • Keep campaign data synchronized between both systems
  • Re-scan all contacts after a settings change: When you update the settings of a campaign integration (such as filters, references, or additional fields), the system automatically ensures that all available contacts are checked on the next trigger run — not just new ones. This prevents any contacts from being missed after a configuration change. The campaign returns to normal operation automatically after the next successful run.

Using with Campaign Preselection ​

The Zvoove integration works seamlessly with the Campaign Preselection feature. When you have both enabled:

  • Automatic Filtering: Contacts imported from Zvoove can be automatically evaluated by AI based on your preselection criteria
  • Quality Control: The AI reviews each candidate against your specific requirements before they enter the calling queue
  • Efficiency: Only the most relevant candidates are called, saving time and improving campaign results
  • Smart Overwrites: The AI can suggest personalized field values for approved contacts based on their Zvoove data

To use this feature:

  1. Enable preselection in your campaign's Preselection tab
  2. Define your filtering criteria (e.g., "Focus on candidates with 5+ years of experience in IT management")
  3. The AI will automatically evaluate contacts as they are imported from Zvoove
  4. Review and approve/reject contacts in the Preselection Contacts tab

Contact Synchronization ​

The Zvoove integration also handles contact management:

Automatic Phone Number Formatting ​

  • Phone numbers from Zvoove are automatically formatted to international standards
  • Duplicate contacts are prevented by matching phone numbers
  • Invalid phone numbers are filtered out during import

Contact Import Process ​

  • Contacts are imported in batches for better performance
  • The system handles large imports (1000+ contacts) efficiently
  • Import status and errors are tracked and reported

Troubleshooting ​

Common Issues ​

Integration Not Connecting

  • Verify your API key is correct
  • Check that your tenant name matches your Zvoove URL
  • Ensure you have proper permissions in your Zvoove account

No Campaign References Available

  • Verify your Zvoove account has active campaigns
  • Check that your integration permissions allow access to campaign data
  • Contact your Zvoove administrator if references are missing

Phone Number Issues

  • The system automatically formats phone numbers to international standards
  • Invalid phone numbers will be skipped during import
  • Check the import report for any formatting errors

Getting Help ​

If you encounter issues with the Zvoove integration:

  1. Check the integration status in the Integrations section
  2. Review any error messages in the campaign logs
  3. Contact your system administrator
  4. Reach out to support if problems persist

Security Notes ​

  • Your API keys are stored securely and encrypted
  • Only authorized personnel should have access to integration settings
  • Regularly review connected integrations and remove unused ones
  • Follow your organization's security policies for external system access
